PAPERLESS OFFICE SOLUTIONS

Efficiency is paramount! Printing, obtaining signatures, creating files, and filing—all of these activities consume time, not to mention the associated challenges of space and costs. The saying “time is money” holds especially true during tax season. Our paperless office solution is geared towards enhancing your efficiency, reducing costs, and minimizing liabilities. Achieving a completely paperless office involves three key components: the ability to capture electronic signatures, store documents, and transmit files to clients. In other words: SCAN – SIGN – SEND. Each of our software solutions features its own iteration of our paperless solution!

DESKTOP

Capture

Images can be captured through scanning, importing, or directly snapping them into the client’s file. Essentially, what we’re emphasizing is a secure document management system!

As depicted in the image, we aimed to offer you alternatives for the most efficient and straightforward scanning approach.

For snapping images or scanning files, you can use the Motorola DS6707, or if someone emails you an attachment, simply download it and select a file.

Authorize

Utilize one of Topaz’s supported models, select a document requiring a signature (such as a bank application, Form 8879, etc.), and have your customer sign on the pad. Their signature is already stored in the system and linked to your preparer login, so save their work. Subsequently, whenever you attempt to print that document, it will bear the signature!

Transmit

If it currently requires more than 30 seconds for you to send your clients an encrypted, signed copy of their tax return, we have a problem. Simply choose an icon in our system, attach any scanned documents or their tax return, and click transmit. By default, the system will encrypt the file using the last four digits of their social security number as the passkey. And just like that – it’s DONE, DONE, and on to the next!

Nearly identical functionalities to the desktop paperless office with a subtle visual and tactile distinction.

Capture – As our platform is entirely web-based, all documents are stored on our servers. Consequently, all your records are securely stored, alleviating concerns in the event of workplace theft, flooding, or fire. Although the Motorola DS-6707 is not compatible with this platform, if you’re utilizing a tablet or smartphone, you can easily capture an image by uploading it from your photo library or simply browsing and dropping it.

Authorize – If using a signature pad is your preference, feel free to do so! We have implemented the feature for your clients to sign documents using their finger on touchscreen devices or with their computer mouse if you prefer not to purchase additional tools. No additional equipment is necessary. The customer simply signs and clicks the “sign” button to save. It’s as straightforward as that!
